Privacy Policy

Skoolari ("we," "our," or "us") is an automated class record system designed for teachers. We operate the Skoolari platform accessible at https://skoolari.com (the "Service").

2.1 Information you provide directly

• Account information: Your full name and email address when you register.
• Instructional materials: Files you upload (PDFs, documents, images, slides) to generate assessments. These are stored in your account and are never shared with other users.
• Student submission data: Photographs or scans of student answer sheets, or typed student answers, that you upload for auto-grading. This data is processed to produce grade results and is stored for 90 days before automatic deletion.
• Grade records: Student names, scores, percentages, and grades that you record in the gradebook. These records are retained permanently as part of your class records.
• Grading system settings: Your custom grading weights and component configurations per subject folder.
• Payment information: Billing details are handled by our payment processors (GCash, Maya, payment card networks). We do not store full card numbers or account numbers on our servers.
• Communications: Messages you send us through the contact or school enquiry form.

2.2 Information collected automatically

• Usage data: Pages visited, features used, assessment and grading activity counts (used for plan enforcement and product improvement).
• Device and browser information: Browser type, operating system, and screen resolution (used for compatibility and debugging).
• IP address: Collected for security purposes and fraud prevention. Not used for marketing.
• Cookies: Session cookies to keep you logged in. We do not use advertising or tracking cookies.

2.3 Information we do NOT collect

• Student personal information beyond what you enter (we do not know student ages, addresses, or contact details)
• Biometric data
• Sensitive personal information as defined under Philippine law (R.A. 10173)

We use the information we collect for the following purposes:

• Providing the Service: Creating and managing your account, processing uploaded materials through the AI system to generate assessments, grading student submissions, and maintaining your gradebook and class records.
• AI Processing: Your uploaded materials and student submissions are sent to our AI processing service (Google Gemini) to generate assessments and grade responses. Google processes this data according to their API Terms of Service and does not use it to train their models when accessed via the API.
• Plan enforcement: Tracking your monthly usage of AI assessments, auto-grades, and storage to enforce plan limits.
• Service communications: Sending you account-related emails such as welcome messages, storage usage warnings, and important service updates. We do not send promotional marketing emails without your explicit consent.
• Security: Detecting and preventing unauthorized access, fraud, and abuse.
• Product improvement: Aggregated, anonymized usage statistics to understand which features are most valuable and improve the product. Individual data is never used for this purpose.
• Legal compliance: Responding to lawful requests from government authorities and complying with applicable laws.

We do not:

• Sell, rent, or trade your personal information to third parties
• Use your data for advertising purposes
• Allow third parties to use your data for their own purposes
• Use student submission data for any purpose other than returning grade results to you

Skoolari is a tool for teachers. When you upload student answer sheets or enter student names and grades, you are acting as the data controller for that student data. You are responsible for:

• Obtaining any necessary consent or authorization from your school, institution, or applicable regulation before uploading student work
• Ensuring you have the right to process student data using a third-party platform
• Complying with applicable school, DepEd, or institutional data privacy policies
• Ensuring student answer sheets uploaded for grading do not include sensitive personal information beyond what is necessary for grading (e.g., student name and answers)

Skoolari acts as a data processor for student data — we process it only on your instruction (your upload) and for the purpose you specify (generating a grade result).

Student answer uploads are automatically deleted 90 days after upload. The grade result (score, percentage, feedback) is retained in your gradebook permanently as part of your class record.

Storage: Your data is stored on servers located in the Philippines or Southeast Asia. We do not transfer your personal data to servers outside this region without your knowledge.

Security measures we implement:

• All data transmitted between your browser and our servers is encrypted using HTTPS/TLS
• API keys and credentials are stored server-side and never exposed to the browser
• All requests to the AI proxy are verified using security tokens (nonces)
• Passwords are hashed using WordPress's bcrypt-based hashing — we cannot see your password
• Database access is restricted to application-level operations only
• Regular backups are performed

Despite our measures, no system is 100% secure. If you believe your account has been compromised, contact us immediately at privacy@skoolari.com.

Under the Philippines' Data Privacy Act of 2012 (Republic Act No. 10173), you have the following rights:

• Right to be informed: To know how your personal data is being processed — which this Privacy Policy fulfills.
• Right to access: To request a copy of the personal data we hold about you.
• Right to rectification: To correct inaccurate or incomplete personal data. You can update your name and email directly from your account profile page.
• Right to erasure: To request deletion of your personal data. You can delete your account (and all associated data) directly from your profile page under "Danger Zone." We will complete deletion within 30 days.
• Right to data portability: To receive your grade records and assessment data in a portable format (CSV export is available from your gradebook).
• Right to object: To object to the processing of your personal data where we rely on legitimate interests as our legal basis.
• Right to file a complaint: To lodge a complaint with the National Privacy Commission (NPC) of the Philippines at privacy.gov.ph.

Skoolari uses the following cookies:

• Session cookie (wordpress_logged_in_*): Keeps you logged in during your browser session. Expires when you log out or close your browser.
• Authentication cookie (wordpress_sec_*): Verifies your identity for secure operations. Expires after 14 days or on logout.

We do not use:

• Advertising or remarketing cookies
• Social media tracking pixels
• Third-party analytics cookies (e.g., Google Analytics)
• Cross-site tracking of any kind

You can disable cookies in your browser settings, but this will prevent you from staying logged in to Skoolari.

Skoolari accounts are intended for teachers and educational professionals. We do not knowingly create accounts for individuals under 18 years of age.

While teachers may upload student work (including work created by minors), Skoolari processes this solely to produce grade results at the teacher's instruction. Student answer data is not linked to a student account, is not retained beyond 90 days, and is not used for any purpose other than generating the grade result.

If you believe a minor has created a Skoolari account without authorization, please contact us at privacy@skoolari.com and we will promptly delete it.

As operators of Skoolari, our support team may access your account data under specific, limited circumstances. We are fully transparent about this practice:

When support may access your account:

• Technical support: When you contact us for assistance with a problem in your account
• System maintenance: To perform routine maintenance, upgrades, or diagnostics that may require viewing account data
• Security investigations: To investigate suspected unauthorized access or security incidents
• Legal compliance: When required by Philippine law or a valid legal process

How your privacy is protected during support access:

• Notification: You will receive an automatic email notification each time our support team accesses your account, stating the date, purpose, and reason
• Audit trail: All support access is permanently logged in our system with the timestamp, the identity of the support staff, and the stated reason
• Minimum necessary access: Support staff access only the data necessary to fulfill the specific support or maintenance purpose
• No unauthorized changes: Support staff will not modify, delete, or export your data without a legitimate, disclosed reason

By using Skoolari, you consent to support access as described above. This is standard practice for cloud-based services and is disclosed here in compliance with the Philippine Data Privacy Act of 2012. If you have concerns about a specific access event, contact us at privacy@skoolari.com.

We may update this Privacy Policy from time to time. When we make material changes, we will:

• Update this page to reflect any changes
• Send an email notification to all registered users at least 14 days before the changes take effect
• Show a notice in your Skoolari dashboard

Your continued use of Skoolari after the effective date of changes constitutes your acceptance of the updated policy. If you disagree with changes, you may close your account before the effective date.
